Why We Threw Everything Away and Started Over
The Honest Version
Two years ago, we launched the first version of OEASE with a simple promise: give community organizations real tools, for free. And it worked — at first. Organizations signed up, managed members, collected dues, and ran events.
But the more we listened to the leaders using the platform, the more we realized we'd only solved the surface-level problems.
A nonprofit treasurer told us she still couldn't answer the simplest question at a board meeting: "How much money do we actually have available?" Our finance tools could track dues, but they couldn't separate committed funds from available funds. A fraternity chapter president explained that their new officers kept accidentally modifying records they shouldn't have touched — because in v1, you were either an admin or you weren't. There was no middle ground.
A dozen organizations were still running recruitment through Google Forms alongside OEASE, because our early platform didn't handle applications end-to-end.
We had a choice: keep patching what we had, or start over with everything we'd learned.
We chose to start over.
What v2 Means for Your Organization
OEASE v2 isn't an update. It's a completely new platform shaped by two years of real feedback from real leaders running real organizations. Here's what that looks like in practice:
The Right People See the Right Things
The old all-or-nothing admin model is gone. Now you can give your treasurer access to finances without exposing member data. Your recruitment chair can manage applications without touching the budget. Create custom roles that match how your organization actually works — not how a software developer imagined it might.
Financial Clarity, Not Financial Complexity
Your treasurer shouldn't need an accounting degree. v2 gives organizations a way to collect dues, tickets, and donations through Stripe — and then organize those funds into budget "pockets" by event, committee, or project. When someone asks "can we afford this?" the answer is right there. No spreadsheet required.
Recruitment That Respects People's Time
Recruitment is no longer an afterthought. Post positions, collect applications, schedule interviews, and send automated notifications — the entire flow lives inside the platform. AI handles initial screening against criteria you set, so your team spends their time on the conversations that matter, not sorting through applications at midnight.
A Digital Home That Updates Itself
Every organization gets a professional website and link-in-bio page that auto-populates with your events, leadership team, and organization details. When you update something in OEASE, your public presence updates too. No website builder. No manual maintenance.
An Interface That Gets Out of the Way
The new design works beautifully on phones, tablets, and desktops. Dark mode is built in. Every screen is designed to surface the information that matters and minimize the clicks to get there. The goal is simple: less time looking at software, more time with your community.
The Philosophy Behind Free
One decision we made early — and refuse to revisit — is that OEASE is free. Not freemium. Not "free for up to 10 members." Free.
Community organizations run on volunteer energy and tight budgets. Asking a student club to pay $240 a year for management software is asking them to choose between tools and their actual mission. We sustain the platform through a small fee on payment transactions processed through Stripe. If your organization never collects money through OEASE, you never pay us anything.
This model aligns our incentives with yours. We succeed when your organization succeeds — when you run events people attend, collect dues efficiently, and bring in new members.
Built on Lessons, Not Assumptions
Every feature in v2 exists because a real organization needed it. The finance tools came from a treasurer who couldn't reconcile budgets. The permissions system came from officers who kept accidentally modifying records. The recruitment pipeline came from dozens of organizations still running applications through spreadsheets.
We couldn't have designed this from a whiteboard. Two years of working alongside community leaders taught us things no amount of planning could have predicted. v2 is the product of those lessons.
What Comes Next
We're not done. Campaign management for fundraising and donations, expanded event tools with ticketing and attendance tracking, and a community marketplace where prospective members can discover organizations that match their interests — all of this is in development.
But the mission hasn't changed. Technology should handle the busy work so humans can focus on empathy, shared experiences, and the deep connections that bring communities together. That's why we started over. That's why we'll keep building.
OEASE v2 is live now. If you've been managing your organization across a patchwork of apps and spreadsheets, this is the platform we built for you.
